

Juried Vendor Application for Kris Kringle Market 2025

Thank you for your interest in becoming a vendor for Belle Grove's 6th annual Kris Kringle Market! Our event this year and going forward will be a juried event with the primary objective of maintaining and increasing the quality of vendors. The jury process entails vendors submitting an application and then a committee of 5 reviewers (Festival Coordinator & 4 Vendor Advisory Committee Members) voting on applications.
Vendors Invited to Apply: All artists, vendors, and small businesses that offer items that they create. No MLMs or resale businesses will be accepted. Food truck vendors should contact the festival coordinator at festivals@bellegrove.org for space availability and pricing.
Filling out the Application
The application system will time out after 20 minutes but having the following items ready will make the process easier:
- Your contact information: your name, company name, email address, cell phone number, website, social media usernames
- At least 1 high quality photo of your items must be uploaded at the time of application submission. You are encouraged to include additional photos of your items and your booth display, as well. Up to 5 photos total can be uploaded to your application. No photos will be accepted outside of your application (e.g. emailed to the committee).
- A robust description of your products which will be used in marketing for the event. Please keep in mind that your description will be copied and pasted directly from your application so be sure to check for typos and misspellings when you fill out your application.
- Credit card for payment. (If you plan to pay by check or cash, contact the festival coordinator for instructions at festivals@bellegrove.org)
Location: Belle Grove Plantation, 336 Belle Grove Rd., Middletown, VA 22645 (There are other sites in Virginia named "Belle Grove" who are not associated with us. We are located in Middletown, Virginia near the intersection of I-81 and I-66.) Our property is a gorgeous historic site with rolling grounds and views. The property is quite vast so an individual vendor’s mobility should be taken into account when applying. Vendor parking, including handicap parking, is not close to individual vendor booths.
Dates: Saturday, November 22, 2025 and Sunday, November 23, 2025
Setup: Friday 10 a.m.-4 p.m. & Saturday 7-9 a.m. Vendors may also restock 7-9 a.m. Sunday.
Event Time: 10 a.m. - 4 p.m. both days
Booth Fees & Vendor Costs
- Application fee of $25 for applications received by midnight on March 12, 2025 and $50 for any applications received March 13, 2025 or later.
- If your application is accepted, $25 from your application fee will be applied to the cost of the booth.
- Prices for vendor spaces are 10ft x 10ft space $150, 10ft x 20ft space $240, 10ft x 30ft space $360, 10ft x 40ft space $480.
- A Temporary Vendor Permit is required for vendors without a Frederick County, VA business license. The permit is $30 (in addition to your booth fee) and can be purchased when you pay for your vendor space(s).
- Costs include BOTH days of the event; we do not offer spaces for only one day.
- Application fees are non-refundable regardless of juried acceptance status and/or cancellation by the vendor.
Attendee Ticket Costs: Free entry; $5/car for Early Bird Shoppers 10 a.m. - 12 p.m. on Saturday
Prior Attendance: 4,800 in 2023 and 2024
Event Offerings
Belle Grove is excited to continue the family-friendly activities that past attendees have enjoyed and offer new ones for 2025! We’ll have Kris Kringle reading stories, live caroling, performances from local dance groups, a wreath making class, and a petting zoo. We’ll also invite guests to take free self-guided tours of the manor house. In 2025 we will be adding a heated tent with beer, cocktails by Copper Fox Distillery, and mulled wine by North Mountain Vineyards for purchase. We will announce other new offerings as we add them in the coming months!
Application Process
- The first round of applications will be open February 19 - March 12, 2025.
- Vendors from the first round will be notified by March 28, 2025 if they are accepted, waitlisted, or denied.
- The second round of applications will be open March 13 - April 23, 2025. Second round applicants along with waitlisted first round applicants will be notified by May 9, 2025.
- Any additional application rounds will be opened based on discretion of the jury committee.
- If accepted, you will be emailed a private link and a one-time code to register for the event and choose your vendor space(s). All spaces are first come, first served, and must be paid for at the time of registration. No vendor spaces will be held without payment.
Rules and Regulations
Allowed Merchandise: Only approved businesses and merchandise are allowed in the event. No subletting allowed. No political or anti-American wares will be accepted. Items with trademarks and/or copyrights are highly DISCOURAGED. It is the vendor's responsibility to acquire proper licensing for these items. This is a family-friendly event, so please keep your items PG or display those that are racy in an area of your booth where kids cannot easily see. The festival coordinator reserves the right to ask any vendor to remove offensive items from their display.
Exclusivity: On the application you will be asked to select one category that your business fits within and 80% of your booth items should fit within this category. This ensures that we can minimize duplication within a category, and therefore increase your individual sales opportunity.
Cancellations & Refunds: All application and registration fees are non-refundable. If you need to cancel for any reason, you must contact the festival coordinator as soon as possible. Vendors that cancel before September 1, 2025, will receive a credit towards vendor space(s) at a future Belle Grove event. Any cancellations after September 1, 2025, through the event will not receive any credit or refund.
Supplies and equipment: Vendors will be responsible for providing their own tents, tables, chairs, etc. All tents must be clean in appearance, and without visible stains or holes. Belle Grove does not provide electricity but quiet generators (<60dBa) and battery packs are permitted.
Tent Weights: Our property is a high wind area. A minimum of 40 lbs per tent leg is required. Additional Staking is encouraged. Vendors will not be allowed to remain set up if their tents are not properly weighted and secured. You are welcome to bring 5 gal buckets and fill them with water (~40 lbs each filled) when you arrive, if desired.
Booth Setup: Each vendor is to set up the appearance of a professional booth. Table clothes must cover all table legs. Extra merchandise, trash, and personal items should be hidden from view. All vendors must be set up and vehicles moved to the parking field 9:30 a.m. each day. Vendors must not encroach on another vendor’s allocated space. Vendors are required to remain setup for the entire two days of the show. Vendors who do not remain setup for the entirety of the show will not be invited back to future events.
Booth decor: Vendors are highly encouraged to decorate their booth to embody the Christmas Market spirit and provide ambiance for attendees. Belle Grove does not provide electricity, but quiet generators (<60dBa) and battery packs are permissible.
Weather: This is an all-weather event. There are no refunds due to inclement weather.
Food Licensing: It is the Food Vendor's responsibility to ensure that they are compliant with local and state laws. Lord Fairfax Health Department will send a food inspector to inspect each food vendor’s setup on Saturday morning of the event.
Inappropriate or Unsafe Behavior: Vendors exhibiting unsafe or obscene behavior (yelling, intimidation, unsafe driving, illegal business practices, etc.) will be asked to leave immediately and will terminate future participation with any Belle Grove events.
Belle Grove, Inc. reserves the right to refuse any applicant for any reason. Failure to comply with the application process along with the Rules and Regulations from vendors may result in expulsion from this event and exclusion from future events.
